Bishop Burton College, a land-based educational institution, operates across two campuses and three sites. Bishop Burton campus features approximately 50-60 buildings including student accommodation , a secondary campus includes seven buildings, and the third site operates under a lease agreement near Lincoln
The college required a modern Computer-Aided Facility Management (CAFM) system to enhance operational efficiency and address current challenges in managing facilities and contractors.

The implementation of the CAFM system followed a structured project management approach to ensure a smooth rollout. The process began with an initial kick-off meeting to outline the implementation plan. Key discussions focused on phasing the rollout of modules to prioritise critical functionalities such as Helpdesk/Reactive Maintenance before rolling out PPM tasks and Asset Management. This allowed the project manager to concentrate on essential areas and create a project plan tailored to the college’s requirements.
Data templates were provided to the college for verification and upload by the project team. These templates included site geography, property/location/space, contractors, job defaults, assets, and PPM.
Special consideration was paid to the asset template, where discussions were held about uploading and managing the relationship of child assets relating to a parent, and the impact of this process in the system.
The system workflow was customised to align with the college’s unique processes, addressing specific operational needs.
During the implementation, the college opted for a hosted system rather than the original request of an on-premise installation, and this preference was incorporated into the project plan. This greatly improved the efficiency of the implementation process, allowing the project team to respond to final data queries and configuration quickly.
After initial testing of the build, data review, and workflow verification, detailed and well-paced training sessions were conducted for all stakeholders, to ensure effective system adoption.
Both the college and Tabs FM recognised the benefits of delivering many professional services onsite in addition to remote sessions via Teams. This approach helped to build a strong ongoing relationship between Tabs FM and Bishop Burton College.
By implementing a modern CAFM solution, Bishop Burton College addressed its challenges while preparing for future growth. The Estates Management Database has streamlined operations, enhanced and helped demonstrate compliance, provided meaningful analytical data for job and asset analysis, and provided a scalable platform to support the college’s evolving needs.
The college has begun planning the rollout of additional modules to support other departments and create a centralised, one-stop system for all facilities and estates-related tasks.
